Everyone is talking about AI like it’s going to change everything overnight. And honestly? I think a lot of it is hype.

Here’s what I’m actually seeing from inside the books of small businesses right now. QuickBooks Online has been rolling out AI features, and they’re not ready. The AI is supposed to read the bank feed and categorize transactions automatically — but it’s getting it wrong. A lot. And it doesn’t even perform consistently across different bank accounts. The tool that millions of small business owners rely on every single day can’t reliably tell the difference between a vendor payment and a utility bill. And sometimes it doesn’t even get the vendor names correct.

That’s not me being negative about technology. That’s me watching it happen in real client files.

AI is a helper. It is not the answer.

That’s my take and I’m sticking with it.

I keep seeing small businesses chase every new AI tool while the fundamentals are still a mess. Disorganized books. No real cash flow picture. Expenses nobody could explain if you asked. But hey — there’s a new subscription running in the background.

And here’s the question I’d ask anyone who tells me AI saved them 10 hours a week: did you verify it? Did you go back and check that it actually did the work correctly?

Because that step matters. AI bookkeeping tools should never be left to run unsupervised — especially on anything financial. It’s too new for that. There should always be a human verification process behind it. Always.

The numbers tell an interesting story.

According to a 2025 Intuit QuickBooks survey, 68% of small businesses say they use AI regularly. Studies suggest that the vast majority of small businesses using AI have no written policy, no training, and no way to measure whether it’s working.

That’s not adoption. That’s everyone downloading the same app and hoping for the best.

The businesses actually seeing real results are the ones who had clean data and solid processes before they ever turned the AI on. Research shows 80% of failed AI projects come down to bad data — meaning the tool didn’t fail, the foundation did. Which is exactly the problem.

What I’d tell any small business owner right now.

Be skeptical. Not of AI entirely — but of the version being sold to you.

Use it as a helper. Let it speed up tasks you already do well. But always verify the output. And don’t let it become a substitute for work that hasn’t been set up properly in the first place.

If your financial foundation isn’t solid yet — start there. Because no amount of AI bookkeeping software is going to make unclear numbers clear. It’s just going to move the mess around faster.
